Solving the PST Repair Headache  Popular

If youíve run an Exchange system that enforces mailbox quotas for any time at all, the chances of having your users archiving email into PST files are great. And if your users have used PST files for any time at all, youíve probably had to perform a PST repair at some point or other. PST files are the unintended consequence of inbox quotas. When users hit mailbox size limits and have no other alternative, they naturally tend to move older email to PST files. With the size limits PST files have, and since they were never designed for storing enterprise email, itís a forgone conclusion that you will have to perform PST repair.

PST files were designed for Exchange 4.0 users to store mail retrieved by POP or IMAP from personal accounts on their local hard drives. They are still around in Outlook 2010, but so is a humanís appendix. The size limitations built into these files initially was very small, and has not really grown at the same rate as inboxes have, and PST files were never intended to be accessed over a network. As a result, PST files frequently corrupt, either because they exceed their maximum recommended size, or because network connectivity is interrupted during a clientís attempt to use them on a fileserver. While there are many Microsoft and third-party tools designed to assist with PST repair, none of them provide solid guarantees, and some start out by truncating the PST file to recover what they can Ė abandoning the rest to the bit bucket. When a PST file contains critical business information, that loss can be costly if not unacceptable. There is really only one alternative; stop using PST files. But with email storage needs growing all the time, what else can you do?

The answer to that question is easy Ė implement an email archiving solution. Email archiving solutions offer businesses many advantages over storing email in PST files, or adding expensive storage capacity to their Exchange infrastructure. Email archiving creates an online storage point for email, moving older messages from the Exchange infrastructure while still keeping them online and accessible to users. This can provide users with a virtually unlimited inbox, while reducing the load on Exchange. Even with Exchange 2010ís reduced disk I/O, allowing mailbox databases to grow unchecked can lead to reduced performance, and severely impact backup and restore operations. Simply adding more space is not a sustainable approach to growing storage demands.

You can configure rules to automatically archive messages based on sender, receiver, subject, or content, and you can also create rules to purge old email after it is no longer required. Some of the best email archiving solutions can integrate directly into Outlook, making usersí archives available just like their Exchange mailboxes. Email archiving can also help with compliance and auditing by creating a single, searchable repository of all email that can be accessed by authorized individuals when necessary. And itís great to know that some can even automate the import of PSTs, helping ensure you never have to deal with a PST repair again.
